What We Can Achieve Together:

The Director of Finance and Operations I is responsible for all operations functions in a small Business Unit, typically less than 20 staff. The Director I will be responsible for Finance, Human Resources, Facilities, Information Systems, Office Management and/or Safety. The Director of Finance and Operations I is responsible for all operations functions in a small Business Unit, typically less than 20 staff (or within 20-40 outside of USA). The Director I will be responsible for Finance, Human Resources, Facilities, Information Systems, Office Management and/or Safety. The Director of Finance and Operations I will work towards meeting the strategic priorities of the program by developing and implementing tactics for approved plans and completing and/or overseeing day-to-day tasks. They may be responsible for central administrative processes, including facility management, telecommunications, mailroom operations, supervising telephone/public reception, maintaining office supplies and equipment, and purchasing requests. They are responsible for development and implementation of annual budgets, and monitoring progress. They may aid all levels of staff on Human Resources issues, working closely with the Regional Human Resources Business Partner. The Director I will provide guidance in satisfying requirements based on extensive knowledge of policies and procedures. They will interpret guidelines and analyze information to achieve results, improve workflow, and solve problems. They will provide recommendations and targeted training related to the functional activity they manage. The Director I will work in close cooperation with any or all the following: Conservancy staff, donors, volunteers, vendors, public agencies, financial institutions, and legal and accounting professionals. They will keep up to date on market trends and best practices to improve services. They will organize and coordinate diverse activities, project outcomes, monitor progress, and implement solutions, in consultation with leadership. This position requires travelling occasionally and working long and flexible hours as needed. The work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.

We’re Looking for You:

The Administration Manager Europe Region will work toward meeting the strategic priorities of the Europe program by developing and implementing tactics for approved plans and completing and overseeing day-to-day tasks. They will be responsible for the regions central administrative processes, including facility management and work schedules, ensures office health and safety protocols are administered, telecommunications, mailroom operations, and telephone/public reception, maintaining office supplies and equipment, support entry into new geographies. The Administration Manager will provide guidance in satisfying requirements based on extensive knowledge of policies and procedures. They will interpret guidelines and analyze factual information to achieve results, improve workflow, and solve problems. They will provide recommendations and targeted training related to the functional activity they manage. The Administration Manager Europe Region must become familiar with the systems and resources utilized by the team and apply knowledge to managing support and designing communications related to the resources. They will develop documentation, modify processes, and participate in the enhancement of systems and tools used by the team. The position holder will work in close cooperation with any or all the following: finance, HR, IT, operations staff, vendors, legal and accounting professionals. May supervise one or more operations or professional staff. They will keep up-to-date on market trends and best practices in order to improve services. They will organize and coordinate diverse activities, project outcomes, monitor progress, and implement solutions, in consultation with leadership.

RESPONSIBILITIES & SCOPE

· Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems;

· Ensure programmatic commitments, Conservancy policies and procedures, and legal requirements are met and managed for compliance. Decisions may bind the organization financially or legally.

· Manage and implement multiple projects, including setting deadlines and ensuring accountability.

· Responsible for operational compliance, to TNC policies and procedures and local laws and statutory obligations across the region.

· Oversee activities related to in-country legal, labor, and financial compliance.

· Responsible for office/facilities management and coordination of BU office management tasks and compiling reports to share with the Director of Finance and Operations.

· Organize and support organizing meetings, events and retreats.

· Responsible for maintenance of regional central filling systems.

· Point person for new office opening in new geographies and setting up new offices.

· Serve as the coordinator of Ops Admin calls and operation calls.

· Coordinator of public holiday announcements in the region.

· Ensure contracted vendors have required insurance coverage and appropriate documentation. Manages the resolution of disputes with service contractors.

· Maintain confidentiality of frequently sensitive and emotionally charged information.

· Responsible for general oversight of inventory /asset management; updating the assets and inventory register in the region

· support day-to-day financial activities such as purchasing, processing invoices, negotiating, and contracting with vendors.

· Travel occasionally, working long and flexible hours as needed.

· May supervise one or more administrative or professional staff

· Complete other duties as assigned by the DFO.

What You’ll Bring:

· Bachelor’s degree and 3 years related experience or equivalent combination.

· Finance/Accounting experience.

· Experience coordinating projects.

· Experience generating financial reports and analyzing and interpreting data.

· Experience developing and administering departmental budget or equivalent.

· Experience managing multiple central administrative processes.

· Experience working across departments.

DESIRED QUALIFICATIONS

· Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;

· Ability to implement complex processes.

· Demonstrated experience handling confidential information.

· Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.

· Experience working with government awards.

· Experience interpreting guidelines to achieve desired results.

· Experience supervising staff, interns and/or volunteers.

· Strong organization and negotiating skills, accuracy, attention to detail and ability to manage multiple tasks.

· Non-profit GAAP accounting experience.

· Experience in supporting Human Resource processes.
